Building an ebook library for Y Coaching Academy

OVERVIEW

Challenge

Y Coaching Academy wanted to build a library to capture leads by writing and sharing ebooks and guides that are grounded in psychology and proven coaching techniques.

As this is a relatively new business, their budget was tight and the company did not have a dedicated marketing team in place. Therefore, the solutions provided needed to meet the company’s business goals, while also being easy for the team to manage on their own.

How I helped

  • Developed front-end webpages including content creation library layout, design and visuals.

  • Researched multiple CRMs and put together backend workflows for lead capture based on the client’s budget and team capacity.

  • Edited seven ebooks for structure and clarity.

  • Developed a long-term distribution plan for the team to leverage on the resource library for the next six months.


THE PROJECT

Y Coaching Academy is a coaching company based in Singapore. They work with organisations to provide employees with the support they need to achieve holistic growth in the workplace.

The company wanted to develop a resource library to publish and share valuable content to help people thrive in the workplace, and to become a useful resource for managers in need of well-designed and well-researched materials for their teams. The resource library, paired with the right distribution plan, would also help with lead generation in the long-term.

When building the resource library, it was important that the tools and systems I chose to use were straightforward and easy-to-use so that the team could manage the website on their own in the long run.

THE PROCESS

As I had prior experience working with the team, I was familiar with their target customer segment, their USPs and the coaching programmes they offered. The three types of coaching programmes aimed to develop self leadership, team leadership and organisational leadership, so it made sense to structure the library accordingly. Subsequent ebooks and guides were created with these three themes in mind.

When designing layout of the library, we wanted to keep the pages clean and simple so that future team members could easily make changes or take on the task of uploading and publishing new ebooks. With this in mind, I also made sure to simplify the backend workflow and select user friendly tools with excellent documentation so that the team would continue to be supported in the long-run.

Another challenging aspect of this project was the limited resources we had to work with. To start, I needed to source solutions that were inexpensive to start with. However, should the company choose to upgrade their subscription with a specific solution provider, it could not be too big of a financial jump either. The last thing to consider was the relatively small team working at Y Coaching Academy, which meant that the solutions I came up with and the tools I chose had to be relatively low maintenance.

For instance, when looking at form builders for the library, we had the option to choose from Wix’s form builder (as the site is built on Wix), HubSpot’s form builder, Google Form and MailChimp. We ended up choosing MailChimp because we could create different forms for each landing page, have an automated email sent to the user upon submitting the form and arrange contacts based on the ebook they downloaded. What more, if the company needed to upgrade their MailChimp subscription, the financial commitment would be a lot more manageable compared to a provider like HubSpot.

While I built the library, the team was responsible for researching, writing and designing the ebooks. My role was to edit and proofread the ebooks, and provide feedback on content and design to ensure that the best possible ebooks were published.

The content resembled workbooks, where readers were given guided exercises to help with self-reflection, brainstorming solutions or simply jotting down ideas.

All in all, we published 7 ebooks in four months, each thoroughly researched, edited and designed to help readers learn new leadership skills.

Newsletter and distribution

To ensure that the company continues to leverage on the Library, I embedded a simple newsletter signup form on the website and created a template for them to use for their monthly newsletters.

We also worked together to create a feasible social media schedule to distribute and promote the ebooks and any upcoming coaching programmes they might offer in the future.

To wrap up the project, I documented key workflows in both written and video to ensure a smooth handover.
